Committee members outline duties
Nobody can do everything, but everyone can do something! Can you offer a few hours a month to help the club?
As the new season is fast approaching, we are reminded of the work and efforts of our volunteers to make our club the best it can be. As a large club, we rely on volunteers to make sure our club runs like clockwork.
Whether you’re a player, parent or supporter, if you can offer just a few hours a month then we’d love to have you on board.
There are lots of opportunities to get involved, and If you’d like to get more information about any of the following positions or talk through volunteering with the club further, feel free speak to any committee member or your Captain.
PRESIDENT*
Senior Representative of the club
Liaison with Life Members and Vice Presidents
CHAIRMAN*
Overall supervision of Club administration
Ensures that business and administration is conducted in accordance with Club rules and TVSC Ltd Articles
Chairs Committee meetings and AGM
Holds the casting vote in all matters
Oversees playing matters for both sections in liaison with Deputy and Vice
Interface with County / Region / England Hockey
Hosts Annual Dinner Dance Guests
Ensures annual audit of Club account
Authorised signatory for Club cheques
By virtue of appointment sits as Board member of TVSC Ltd
DEPUTY CHAIRPERSON *If the Chairman is a female, this position is a male and vice versa
Deputises for Chair as necessary
Supervises all hockey playing matters for his/her section – head of section
Section League representative
Attends league meetings / represents the Club at Men’s / Ladies League AGM
Oversees Selection Committee in accordance with Club selection policy
Authorised signatory for club cheques
TVSC Board representative if required
Holds stock of Club uniform for sale to members
VICE CHAIRPERSON*If the Chairman is a female, this position is a male and vice versa
Supervises all hockey playing matters for his/her section – head of section

Attends league meetings / represents the Club at Men’s / Ladies League AGM
Oversees Selection Committee in accordance with Club selection policy

Holds stock of Club uniform for sale to members
SECRETARY*
Convenes AGM, prepares agenda in liaison with Chair and keeps minutes
Deals with routine correspondence
Convenes committee meetings, prepares agenda and keeps minutes
Circulates letters/notices to Club members as appropriate
Maintains the Club membership list in conjunction with Board secretary
Maintains the club notice board
TREASURER*
Maintains the Club Account
Authorised signatory for Club cheques (sole signatory for payments up to £400)
Liaises with Membership Secretary to ensure payment of annual subscriptions
Collects annual section levy
Receives match fees and reports on arrears
Presents statement of a/c to each committee meeting
Prepares an annual statement of a/c for the AGM, together with the previous year’s a/c
MEMBERSHIP SECRETARY*
Maintains the Club membership list
Oversees collection of annual subscriptions
Liaises with Treasurer to ensure all players are paid up members of the club
FIXTURES SECRETARY*
Arranges fixtures for club teams as requested by the Committee
Confirms fixtures, as per fixture list, with opposing team’s match secretary at least 10 days in advance
Reserves and allocates pitches for home games
Advises the Selection Committee of match start times and venues, including directions to venues as appropriate
Informs Umpires Secretary of match requirements
Advises opposing teams of “early starts” to matches in accordance with league rules
Makes short notice fixture arrangements as requested by team captains
UMPIRES SECRETARY
Maintains list of Club umpires
Liaises with Umpires Associations for the appointment of umpires to league and non league games
Appoints umpires for games where Association umpires are not nominated
Notifies selection committee of appointments and also non availability of umpires for matches
Keeps a record of all club umpires’ appointments and submits details to appropriate Association for affiliation purposes although this is primarily the responsibility of individual umpires
TEAM CAPTAINS
Primary responsibility for team selection under advice of Chair of Selection committee
Notifies players of their selection and non selection as appropriate
Attendance at committee meetings as and when requested
Ensures correct turn out, including shirt numbering
Maintains team discipline
Collects match fees, completes match fee book and ensures payment to Treasurer
Ensures proper hosting of visiting teams
Maintains team first aid kit
Provides match balls
In event of match cancellation ensures that the Chairman, umpires Secretary and Fixture Secretary is informed
Phones through league match results to appropriate league secretary and completes and emails relevant team and result documentation
Holds keys and security codes for admission to the clubhouse

In the event of a Squad Manager being appointed, certain of the above duties will be undertaken by him/her – see duties of Squad Manager
All captains are encouraged to appoint a Vice Captain and to delegate duties as appropriate
SQUAD MANAGER (when appointed)
Attends selection meeting and informs players of their selection (incl non selection) and match arrangements
Responsible for Squad fitness training
Makes decision on rolling substitutions during matches
Collects and collates match fees for onward transmission to Treasurer
Liaises with Press Secretary
Provides match balls
Maintains team first aid kit
In event of match cancellation ensures that the Chairman, umpires Secretary and Fixture Secretary is informed
Deals with match result requirements
SENIOR CLUB COACH
Recommends the coaching strategy for the Club
Co-ordinates the coaching programme, allocating club coaches to task
Observes Club XI’s during matches and analyses performance
Assists with team selection
Presents coaching viewpoint to committee meeting
Recommends player with potential for coaching courses
Junior Section Rep*
Devises youth development policy
Establishes point of contact with local schools
Organises, in conjunction with Club Coach, training for young players
Controls equipment provided by the Club for youth hockey
Assists integration of young players into the Club’s adult sides
Keeps Club committee informed about developments in youth section
PLAYERS REPRESENTATIVES
Acts as a point of contact (other than Captain or other Committee Member) for players to approach in the event of selection queriesDe
Attends general committee meetings when required
FUNDRAISING CO-ORDINATOR
Acts a Chairman of Fundraising Committee
Devises annual fundraising strategy to meet budget targets
Obtains club sponsorship
SOCIAL SECRETARY
Liaises with Fundraising Co-ordinator
Prepares an annual programme of social events
Canvasses the membership to ascertain the nature and number of social events required
PRESS / SOCIAL MEDIA SECRETARY
Submits match reports for press / social media publication
Identifies opportunities to gain good publicity for the club
Liaises with press, radio and TV as required
Places advertisements on behalf of the club as requested by the committee
CLUB WELFARE OFFICER
Ensures club abides by current legislation for protection and care of young members
Authorised signatory for DBS checks on behalf of England hockey
Point of contact for all juniors and junior parents
